Course Participation, Withdrawal & Refund Policy

SPC Therapy Academy Ltd

1. Policy Statement

SPC Therapy Academy Ltd is committed to delivering structured, competency-based education across its programmes, including:

  • Foundation of Clinical Acupuncture & Dry Needling Therapy

  • Clinical Cupping & Hijama Therapy

  • Sports Massage Therapy (Level 4)

  • Clinical Massage and Advanced Manual Therapy Programmes

All courses are designed in accordance with recognised professional standards, incorporating theoretical instruction, supervised practical training, and assessment of clinical competence.

This policy outlines the terms governing course participation, withdrawal, and financial reimbursement, ensuring transparency, fairness, and compliance with best practice in education and training provision.

2. Full Refund Eligibility

A learner shall be entitled to a full refund of fees paid only where both of the following conditions are met:

  • The learner has not been granted access to any course materials, including but not limited to online learning platforms, recorded lectures, or written resources; and

  • The learner has not attended, accessed, or participated in any form of teaching or training, whether delivered online or in-person

Once either course materials have been issued or teaching has been accessed, the learner is deemed to have commenced the programme.

3. Withdrawal and Partial Refunds

Where a learner elects to withdraw from a programme after commencement, they may be eligible for a partial refund, subject to the following conditions:

  • Withdrawal occurs prior to participation in any in-person practical training; and

  • The learner has accessed course materials and/or attended teaching sessions

In such cases, SPC Therapy Academy Ltd will apply a pro-rata fee calculation, reflecting:

  • The provision of course materials; and

  • The number of guided learning hours delivered and attended

4. Pro-Rata Fee Structure

For the purposes of calculating partial refunds, the following standardised cost structure applies (applicable to Clinical Acupuncture & Dry Needling and Clinical Cupping/Hijama programmes unless otherwise specified):

  • Core Online Learning Materials: £150

  • Guided Learning (Teaching) Rate: £45 per hour

Illustrative Example:
Where a learner has accessed course materials and attended 4 hours of teaching:

  • Materials Fee: £150

  • Teaching Fee: 4 hours × £45 = £180

  • Total Deduction: £330

Any remaining balance of the course fee, where applicable, shall be refunded.

5. Practical Training and Competency-Based Delivery

SPC Therapy Academy Ltd delivers programmes that include supervised practical training and competency assessment.

Where a learner has participated in any practical (in-person) training, refunds will not normally be granted, on the basis that:

  • Practical training constitutes a substantial and non-recoverable component of programme delivery; and

  • Resources, supervision, and clinical instruction have been allocated and utilised

Any exceptions to this will be considered at the discretion of the Academy under exceptional circumstances.

6. Administrative Requirements

  • All requests for withdrawal and/or refund must be submitted formally in writing

  • Refunds will be processed within a reasonable timeframe following review

  • SPC Therapy Academy Ltd reserves the right to assess each case individually, ensuring decisions are made in line with principles of fairness, proportionality, and professional standards

7. Compliance and Governance

This policy is designed to align with:

  • Good practice in vocational and professional education

  • Principles of transparency and learner protection

  • Standards expected by professional bodies including BCMA and similar regulatory/accrediting organisations
